This policy explains what personal information Santien Property Management & Lettings Ltd collects, why, and your rights. We are the data controller for the information described here.

What we collect
If you enquire through this website
Your name, phone number, email, the property postcode and anything you tell us in your message, including any details you choose to send from our rent estimate tool. If you tick the box, we also record that you're happy to receive landlord updates by email.
If you're a landlord we work for
Your contact details, property details, ownership and identity documents, bank details for rent payments, and the records needed to manage your property and comply with the law.
If you're a tenant or applicant
Your contact details, identity and Right to Rent documents, referencing information (such as employment, income and previous addresses), tenancy, deposit and rent records, repair reports and correspondence.
Why we use it, and our lawful basis
- To reply to your enquiry and provide our services, because it's needed to take steps towards, or perform, a contract with you.
- To meet legal duties, such as Right to Rent checks, deposit protection, anti-money laundering, licensing and tax records.
- To run our business properly, for example keeping records, handling complaints and protecting our legal rights. This is our legitimate interest.
- To send landlord updates by email, only where you've agreed. You can unsubscribe at any time using the link in each email.
Who we share it with
Only where needed: the other party to a tenancy (landlord or tenant), referencing providers, the Deposit Protection Service, contractors carrying out repairs, local councils (for example for licensing), our accountants and insurers, our client money protection scheme and The Property Ombudsman if a complaint is referred, and anyone we're legally required to share it with. If you're selling, we share the details needed with buyers, solicitors and the property portals where your home is advertised, including through our listing partner. We don't sell your information.
Our website is hosted by Netlify, which stores enquiries sent through our contact form. Some of our service providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place.
How long we keep it
Enquiries that don't lead to us working together are deleted after 12 months. Tenancy, rent and deposit records are kept for 6 years after the tenancy ends, and Right to Rent records for at least 1 year after it ends, as the law requires. Landlord records are kept for 6 years after we stop managing the property.
Cookies
This website doesn't use cookies for advertising or analytics. Our fonts and images are served from our own website, so visiting it doesn't send your details to other companies.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, or withdraw your consent to marketing at any time. Email enquiries@santienpm.co.uk and we'll respond within one month.

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
